Job Summary

Provide timely, physical setups, logistical and technological arrangements of Miller Conference Center events including hosting, efficient consultation, organization and post event wrap up of all events. Assist in maintaining a safe environment at the Miller campus during events. Oversee and assist the late afternoon and evening efforts of event technicians in facilitating current evening events and setups of upcoming events. Communicate all necessary event information to appropriate department personnel. This position is for a 2pm-10pm shift, 5-days a week. Some weekends and overnights required.

Essential Duties & Responsibilities & Knowledge Skills & Abilities

Essential Duties & Responsibilities:
  • Perform timely event setups, including furnishings, audio-visual equipment, computer equipment and Internet connectivity.
  • Provide direct customer service through regular interaction with off-campus clients, staff, faculty and students, with concurrent events.
  • Anticipate client needs by being aware of potential conflicts or last-minute setup and equipment needs.
  • Host client events prior to, during, and after each event and facilitate client needs throughout each event.
  • Ensure client compliance with Salt Lake Community College (SLCC) Policies Procedures and Federal, State and Local law and fire codes. Assist in providing a safe campus.
  • Assist in maintaining a clean and professional physical environment at the Miller campus.
  • Report to and update Miller Campus Events Specialist on evening events.
  • Assist the Specialist Miller Campus Events in organizing event setups.
  • Lead and assist part time event technicians in the late afternoon and evening.
  • Open classrooms and event space for daily academic and client events.
  • Check all spaces before clients arrive, ensuring that the setups meet prescribed expectations.
  • Set up audio/visual equipment and other amenities as outlined in the Weekly Schedule of Events, ensuring that all Conferencing services are in place.
  • Troubleshoot and resolve client equipment and setup compatibility issues.
  • Assist the security of the campus at night by locking all doors to conference spaces and ensuring that all clients have exited the buildings.
  • Perform regular maintenance checks of all conferencing equipment, classrooms and computer lab space to ensure appropriate upkeep, and return of unneeded equipment to proper storage.
  • Assist conference clients by providing information and organizational consulting on setup, equipment, displays, flow of traffic and signage for diverse types of events.
  • Assist clients, staff, faculty and students with information and directions.
  • Conduct tours of the Miller Campus Conferencing Facilities, as needed.
  • Improve conferencing success by performing research and analysis functions, preparing and writing reports.
  • Assist in contract compliance.
  • Prioritize all daily activities, communicating any necessary event changes or modification information to supervisor and/or co-workers, checking the weekly events schedule regularly for updates and additions.
Knowledge, Skills, & Abilities:
  • Ability to lift move 50 pounds on a regular basis.
  • Ability to set up and operate office and A/V equipment.
  • Strong customer service orientation and communication skills.
  • Knowledge of general office procedures.
  • Knowledge of Internet (including setup of internet access), Microsoft Word, and Excel.
  • Ability to handle sensitive client information with discretion while maintaining confidentiality. Ability to handle conflict resolution with calm and deliberation.
  • Ability to set priorities and to organize tasks.
  • Maintain professional, positive attitude and neat appearance.
  • Ability to grow, adapt, take direction and work independently when necessary.
  • Interpersonal, problem solving, and decision-making skills.
  • Need strong organization skills to provide timely and complete physical setups of Miller Conferencing events.
  • Must be reliable and punctual.
  • Ability to communicate effectively with a broad range of people with a variety of abilities and backgrounds, to maintain good working relationships across the College.
  • Ability to work with all groups from a variety of academic, socioeconomic, cultural, and ethnic backgrounds, and with community college students, faculty, and staff, including those with disabilities.
Minimum qualifications
  • High school diploma or equivalent.
  • Two (2) to five (5) years direct paid full-time experience.
  • Trade off 1:1 in experience/education requirement.
  • Part-time experience may be considered on a prorated basis.
