Senior Administrative Assistant
College of Humanities and Social Sciences
Full-Time
The Senior Administrative Assistant will support the Dean, faculty, and staff of the College of Humanities and Social Sciences. Examples of support include managing budget accounts, maintaining files, scheduling meetings, assisting with travel arrangements, and organizing college events.
Primary Responsibilities
- Provides full administrative support to the Dean
- Greets visitors, maintains a friendly and welcoming office environment, answers multiple telephone lines and serves as a resource for inquiries
- Performs computer applications, including word processing, presentations, spreadsheet and database, and uses a variety of technologies
- Manages multiple budget accounts
- Schedules appointments and meetings for the Dean, and various committees and councils
- Organizes and distributes materials and mass mailings
- Maintains complex, comprehensive filing systems
- Manages electronic recordkeeping, e-mail, and communications
- Handles confidential and sensitive materials
- Coordinates and organizes college events
- Mentors and oversees training, scheduling and work assignments for any student workers
- Attends and records minutes at Leadership Team, College Council and other meetings as needed
- High school diploma or GED
- Knowledge of Microsoft Office Word, Excel, PowerPoint, and Access
- Demonstrated complete administrative skills, including excellent interpersonal, verbal, and written communication skills
- Excellent organizational and time management skills
- Demonstrated ability to handle multiple tasks with frequent interruptions
- Demonstrated ability to work independently with minimal supervision and exercise initiative
- Demonstrated ability to learn different and new technologies
- Demonstrated ability to handle situations with sensitivity, tact, and in a confidential manner
- Ability to work in a team environment
- Previous work experience that indicates a high degree of accuracy and attention to detail
- Knowledge of budget management and financial reporting
- Demonstrated experience and understanding of customer service
- High school diploma or GED
