Position Announcement
The Research Office Support Specialist provides administrative and operational support to the University Research Office. This position assists with daily office functions, research program logistics, event coordination, and administrative processes that support research and creative activities across campus. The position reports to the Director of the Research Office and works closely with the Director and Assistant Director of the Research Office in collaborating with faculty, staff, and students to support research operations. This is a three year position.
Responsibilities
POSITION DETAILS, COMPENSATION AND BENEFITS: Part-time hourly staff position (up to 29 hours per week) Hourly rate of $15.00-$17.00/hr, depending on experience. This is a three year position ending in 2029. Responsibilities
- Assist in managing physical and electronic timekeeping procedures for student research assistants.
- Support tracking and reconciliation of Research Office budgets, including faculty research grants and related accounts.
- Assist with processing pre-authorizations, reimbursements, and expense documentation in compliance with university policies and procedures.
- Provide logistical support for Research Office events, including the annual UT SPARK Forum and the Utah Tech University Research Symposium.
- Assist with registration and travel coordination for faculty and students attending the UCUR conference.
- Provide administrative support for Research Office meetings, including scheduling and preparation assistance.
- Prepare and distribute campus-wide announcements and communications related to research initiatives and events.
- Assist with communication and onboarding processes for faculty research grant awardees and their research assistants.
- Support administrative tasks associated with internal research programs and funding competitions.
- Maintain organized and accurate records, files, and documentation related to Research Office operations.
- Assist with preparation and logistics for workshops, conferences, and research-related activities.
- Provide administrative support for research compliance processes (e.g., IRB, IACUC, and Biosafety) as directed.
- Assist in preparing newsletters, promotional materials, and research communications.
- Support updates to Research Office websites and communication platforms.
- Assist with scheduling and coordination of meetings involving Research Office personnel and stakeholders.
- Perform other related duties as assigned.
- High school diploma or equivalent required; associate's degree or higher preferred.
- One to two years of administrative or office support experience preferred; experience in higher education is desirable.
- Demonstrated organizational skills and attention to detail.
- Basic knowledge of budgeting and record-keeping practices.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office applications and the ability to learn institutional software systems.
- Ability to manage multiple tasks in a fast-paced office environment.
- Effective interpersonal skills and the ability to maintain professional working relationships.
