Position Highlights

The University of Arizona College of Medicine - Phoenix seeks an outstanding Administrative Support Assistant III. This position will support the Curricular Affairs Unit in its mission to inspire and train exemplary physicians, scientists, and leaders to optimize health and health care in Arizona and beyond. The successful candidate will perform varied advanced administrative work requiring initiative, independence, flexibility, and excellent written/verbal communication skills. This position provides vital support for Curricular Affairs operations, including support for Foundational Curriculum blocks and additional courses, administrative support for the Directors, and participation in and support for unit subcommittees.

Duties & Responsibilities

  • Perform variety of administrative and/or secretarial support activities for supervisor, such as composing correspondence and summarizing reports and information to facilitate review, and investigating, evaluating, and resolving problems.

    Create, oversee, and update departmental files, complex databases and a variety of reports.
  • Runs and interprets reports from the curricular management system to support course planning, evaluation, and accreditation needs.
  • Provide guidance and assistance as needed to students, faculty, researchers, and other staff on policies, practices, and procedures, including on LCME matters.
  • Assist Foundational Curriculum coordinators with session preparation and student events.
  • Schedules and organizes meetings with Block, Course, Theme Subcommittee (BCTS) and Block Directors staff/faculty.
  • Organize, edit, and develop presentation materials, detailed handout materials, and maintain intricate tracking of projects, assignments and due dates for events and projects various subcommittees and the department.
  • Prepare minutes, notices, manuals, agendas, and correspondence with all supporting documentation, requiring application of a specialized knowledge of the assigned function.
  • Implement new policies, procedures, or practices impacted by decisions made at meetings and conferences and interpret and explain established policy and procedure in response to inquiries.
  • Coordinate complex processes and initiatives such as block assessment data, faculty reports or course scheduling.
  • Monitor, review, and approve standard expenditures to ensure the activities of the office are conducted within established budgets.
  • Manage the departmental PCard, authorizing and tracking use in compliance with University Guidelines.
  • Track and prepares expense reimbursements.
  • Maintain and purchase departmental supplies.
  • Serve as back up for other support staff positions, as assigned by supervisor.

  • Effective verbal and written communication; ability to communicate with different groups and individuals, both internal and external to University of Arizona
  • Ability to handle multiple competing deadlines
  • Skilled at problem solving and making decisions
  • Flexible and adaptable to the department's growing and changing needs
  • Demonstrated ability to quickly learn new programs and systems
  • Knowledge and proficiency with Microsoft Suite, Box, and Zoom
  • Excellent organizational skills and attention to detail

Minimum Qualifications

  • High school diploma or high school diploma equivalency is required.
  • Five (5) years of relevant experience, or equivalent combination of education and work experience.

Preferred Qualifications

  • Associate degree in a related field of study.
  • Experience in higher education.
