Job-Specific Responsibilities
Reporting to the Chief Development Officer and supervising a Development Operations Coordinator, the Manager is responsible for overseeing the strategic and accurate use of Advance in the Harvard Art Museums' Institutional Advancement Department. This includes overseeing gift processing, administration, acknowledgment, and reconciliation; creating a suite of dashboards and fundraising reports to support a team as they pivot to a more data-driven fundraising model; list and prospect management; monitoring donor solicitations and stewardship; and regular reporting on progress to goal. 

Harvard Art Museums Specific Duties:
  • Reviews current business processes and interfaces with department users in order to gain a complete understanding of current procedures, identify improvements and ensures there is integration between business and technology. This role will structure and conduct user research, develop interface concepts, design, and coordinate usability testing.
  • Extracts and analyzes prospect and donor information to support meeting departmental fundraising goals. Partners with CDO and IA team members to develop and produce a suite of fundraising reports and user-friendly dashboards that monitor progress to goal and assist frontline fundraisers with prospect management and stewardship. Conducts ad hoc data analyses on the annual, event, and program-based fundraising trends.
  • Partners with Individual Giving team on the use of data in solicitation efforts including direct marketing.
  • Leads Development Operations Coordinator to provide excellent service in the areas of gift administration, donor relations, and development data and reporting. Fosters Coordinator's continued development of technical skills and data knowledge.
  • Establishes a system of regular evaluation of existing business processes in order to recommend new opportunities for efficiencies and effectiveness through process change and/or incorporation of technology.
  • Works collaboratively with the CDO and University contacts to develop and execute project plans, escalate and resolve issues, manage project budgets and scope, collaborate on training needs, and communicate to project teams, vendors, and key stakeholders.
  • Ensures compliance with Harvard Alumni Affairs and Development's Advancement Technology Support Services and Business Intelligence departments' policies and data requirements. Serves as the Harvard Art Museums' designated Local Product Manager for Ellucian Advance and QlikView systems.
  • Oversees access to and use of the development information systems, including all aspects of data maintenance, staff training, security and integrity audits, and record-keeping.
  • Serves as the art museums' representative to schools and units University-wide regarding alumni and donor data.
  • Participates in university-wide data management workgroups; ensures the art museums' interests are represented in the development of university-wide data management policies and that the IA team is equipped and trained on current hardware and software technologies necessary for all business operations of the office.
  • Trains new and current staff, proactively when necessary and at their request, on the effective use of data management tools to meet business needs.
  • Assists with other projects and duties as assigned
Typical Core Duties

  • Collaborate with stakeholders to translate business needs into systems requirements and scoping
  • Contribute to the definition of systems requirements, conduct gap analysis, and identify feasible alternative solutions that meet defined business objectives
  • Perform user needs analysis, product evaluation, selection, customization, testing, implementation, and support
  • Participate in the development of plans and policies for a unit/school
  • Abide by and follow the Harvard University IT technical standards, policies and Code of Conduct
Basic Qualifications
  • Minimum of two years' post-secondary education or relevant work experience
Additional Qualifications and Skills
Basic Qualifications:
Including experience with relational databases and SQL, QSL, or comparable query languages for relational database management systems.

Additional Qualifications:
  • Candidates for this position should have a track record of successfully executing major projects.
  • Enthusiasm for the arts is encouraged.
  • Previous supervisory experience preferred.
  • Experience with BSR Advance strongly preferred.
  • Strong MS Office skills: Word, Excel, Access.  
  • Experience with QlikView and/or QlikSense preferred.
  • Experience designing user interfaces for Business Intelligence reporting platforms to meet high-level specifications and end-user business requirements a plus.
  • Must have strong written and verbal communication skills with experience documenting complex business processes. Public speaking and presentation skills preferred.   
Certificates and Licenses
  • Completion of Harvard IT Academy specified foundational courses (or external equivalent) preferred
